Terms & Conditions

MotionLab is a specialist veterinary physiotherapy and hydrotherapy clinic. All treatments are delivered in accordance with NAVP (National Association of Veterinary Physiotherapists) professional standards and within the scope of veterinary referral or veterinary consent where required.

By booking and attending an appointment, you agree to the following Terms & Conditions.

1. General

  • Dogs must not be fed within 2 hours before their session or for 1 hour after their session.

  • Treatment duration varies depending on the animal’s condition, tolerance, and clinical presentation.

  • Underwater treadmill sessions may range from a few minutes up to 30 minutes. Remaining session time may be used for other physiotherapy treatments where appropriate.

  • MotionLab reserves the right to cancel or reschedule appointments due to unforeseen circumstances, including staff illness or equipment malfunction.

  • MotionLab reserves the right to refuse, modify, or discontinue treatment if it is deemed inappropriate, unsafe, or not in the animal’s best interests.

2. Veterinary Referral & Professional Scope
(NAVP Aligned)

  • Veterinary physiotherapy and hydrotherapy will only be provided with veterinary referral or consent, in line with NAVP professional standards.

  • MotionLab works collaboratively with referring veterinary surgeons and may provide progress updates where appropriate and consented to.

  • MotionLab does not diagnose medical conditions or replace veterinary care.

3. Professional Standards

  • All assessments and treatments are carried out in-clinic by appropriately trained and fully insured practitioners.

  • Practitioners working at MotionLab are registered with relevant professional and regulatory bodies and work within their professional scope of practice (NAVP/ IRVAP +/- RAMP).

4. Owner Responsibility & Risk

  • Physiotherapy and hydrotherapy are undertaken at the owner’s risk.

  • Owners must inform MotionLab immediately of any changes to their dog’s:

    • Health status

    • Medication

    • Veterinary treatment

    • Behaviour

    • Any other factor that may impact safety or rehabilitation outcomes

  • MotionLab cannot accept responsibility for adverse outcomes arising from incomplete, inaccurate, or withheld information.

5. Illness, Infection & Skin Conditions

  • If your dog has been unwell within 48 hours of the appointment, MotionLab must be informed as soon as possible to rearrange.

    • This includes (but is not limited to): vomiting, diarrhoea, coughing, elevated temperature, open wounds, skin infections, or contagious conditions.

  • This policy protects patients, staff, and water hygiene.

  • Where clinically appropriate, a land-based physiotherapy session may still proceed at the therapist’s discretion.

6. Hydrotherapy-Specific Safety

  • Hydrotherapy may not be suitable for all dogs.

    • Treatment may be postponed or declined if the dog has:

      • Open wounds or active skin infections

      • Contagious disease

      • Uncontrolled epilepsy

      • Severe cardiac or respiratory disease

      • Incontinence affecting water hygiene

      • Any other condition deemed unsafe by the therapist

    • Sessions may be stopped or modified at any time in the interest of animal welfare.

7. Animal Handling & Behaviour

  • MotionLab uses calm, patient-led and low-stress handling techniques at all times.

  • Animals may react unpredictably; despite all reasonable precautions, there is an inherent risk of injury to animals, owners, or staff.

  • MotionLab reserves the right to refuse or discontinue treatment if behaviour is deemed unsafe.

8. Health & Safety

  • MotionLab does not accept responsibility for personal injury or accidents on the business park or within the clinic premises, except where required by law.

  • Floors may be wet; owners must wear appropriate non-slip footwear.

  • Dogs must arrive wearing a collar or harness and lead and remain under owner control unless instructed otherwise.

9. Property, Parking & Grounds

  • MotionLab accepts no responsibility for loss or damage to vehicles or personal property.

  • Clients must park only in designated MotionLab parking spaces, which are clearly signed.

  • Clients must not walk around the wider business park grounds.

  • If a dog toilet on site, owners must clean up immediately and take waste home for disposal.

10. Hygiene

  • Dogs must remain on lead while on the business park.

  • Owners are responsible for cleaning up after their dog.

  • A £60 cleaning charge may apply if a dog defecates in the underwater treadmill.

  • Accidents involving elderly, disabled, or neurologically impaired dogs will be considered on a case-by-case basis.

11. Appointments & Cancellations

  • Late Arrivals

    • Up to 10 minutes late: session may proceed but time may be reduced.

    • Over 15 minutes late: appointment may require rescheduling and the full session fee will apply.

  • Missed Appointments

    • Failure to attend will result in the full session fee being charged.

  • Cancellation Charges

    • Less than 24 hours’ notice: 100% of session fee

    • 24–48 hours’ notice: 50% of session fee

    • 48 hours or more: no charge

12. Fees & Insurance Claims

  • Payment is required on the day of treatment unless direct insurer payment has been agreed in advance.

  • Owners are responsible for claiming reimbursement from their insurer unless otherwise arranged.

  • MotionLab will provide invoices and assist with insurance documentation where required.

13. Data Protection & Information Sharing

  • Personal and clinical data are stored and processed in accordance with UK GDPR and MotionLab’s Privacy Policy.

  • MotionLab uses Cliniko, a secure, GDPR-compliant practice management system, to store and manage client and patient records. Cliniko’s Privacy Policy is available at https://www.cliniko.com/policies/privacy/

  • By agreeing to these terms, you consent to MotionLab storing your information within Cliniko and sharing relevant information with your veterinary surgeon and insurance provider where necessary for your animal’s care.
